Resource Bookings

Request bookings of shared site resources, such as bookable equipment or locations, and track them through approval. This guide covers creating a booking, recurring bookings, the approval flow, and the views available.

Creating a Booking

If you have been granted permission to create bookings, you can request the resources your organisation needs.

  1. Open Bookings and click Create
  2. Select the resource or resources you need
  3. Set the date, time and duration within the project's operating hours
  4. Set a delivery location
  5. Complete any custom fields
  6. Attach any supporting files

As you build the booking, live conflict detection checks your request against existing bookings. It warns you on soft conflicts, which you can still proceed with, and blocks hard conflicts, which you must resolve before submitting.

Recurring Bookings

If you need a resource repeatedly, set the booking to recur. Recurring bookings can repeat:

  • Daily
  • Weekly
  • On a custom pattern

A recurring booking generates numbered instances, such as BK-001 and BK-002, so each occurrence can be tracked individually.

The Approval Flow

When you submit a booking, its status becomes pending while the host reviews it. The host then either:

  • Approves the booking
  • Rejects the booking
  • Requests changes, which sets the status to changes requested

When changes are requested, you can edit the booking and resubmit it. You can edit your own bookings while they are pending or have changes requested, and you can cancel any booking before it is rejected.

Approving Bookings Sent to You

If you are assigned an approver role, you can also act on bookings that are sent to your organisation. For those bookings you can approve, reject, or request changes, just as the host does for your requests.

Views

You can look at bookings in whichever way suits you:

  • The board, a daily timeline of bookings
  • The weekly grid, showing the week at a glance
  • The register, a full list of bookings

What Guests Cannot Do

You request and manage your own bookings, and approve those sent to you if you hold an approver role. Guests cannot configure which resources are bookable — setting up the bookable equipment and locations is handled by the project host.
