Program & Scheduling

View the project program so you can see how your work fits into the wider schedule. This guide covers opening a program, reading the Gantt view, and the baselines, saved views and cashflow you may be able to see.

Viewing the Program

If you have been granted permission to view the program, open Program to see the list of programs on the project. Open a program to reach its Gantt view.

Folder permissions may limit which programs you can see, so you may not have access to every program on the project. This is set by the host.

Reading the Gantt View

The Gantt view lays out the schedule visually. It shows:

  • The task list of activities in the program
  • Dependencies between tasks
  • Dates for each task
  • Completion percentages showing how far along each task is
  • The critical path, highlighting the tasks that drive the overall finish date

Seeing the critical path helps you understand which activities cannot slip without affecting the project end date — useful for planning your own crew and deliveries.

Baselines and Saved Views

Alongside the live program you can use a couple of tools to make sense of the schedule:

  • Baselines are saved snapshots of the schedule. Viewing a baseline lets you compare the current plan against an earlier agreed version.
  • Saved views are filter and column configurations. Applying a saved view lets you focus on the tasks and information that matter to you.

Cashflow

If you have been granted access, you can also view a cashflow page showing revenue and cost projections across the program. This is a viewing tool only.

What Guests Cannot Do

For guests, the program is primarily a viewing tool so you can stay aligned with the project schedule. Guests cannot:

  • Create or edit programs and tasks
  • Manage baselines
  • Manage project calendars

Building and maintaining the program, managing baselines, and setting up project calendars are handled by the project host.
