Manage site attendance with a kiosk-style sign-in system supporting QR code scanning, geofencing, photo capture, and visitor tracking.

Setting Up Sign-in/Sign-out

Kiosk Mode

Set up a dedicated device at the site entrance for workers to sign in and out:

  1. Navigate to Project > Sign-in/Sign-out
  2. The kiosk interface displays a simple sign-in screen
  3. Workers identify themselves using one of the supported methods
  4. The system records their attendance

Identification Methods

Workers can sign in using several methods:

  • Worker Code: Enter their unique worker ID
  • Date of Birth: Enter their date of birth for identification
  • QR Code Scan: Scan their personal QR code at the kiosk
  • Photo Capture: Take a photo for identification and record-keeping

QR Code Scanning

  1. Go to Project > Sign-in/Sign-out > Scan
  2. The device camera activates for QR scanning
  3. Workers present their QR code
  4. The system identifies them and records the sign-in

Geofencing

Configure location-based validation to ensure workers sign in from the site:

  • Site Radius: Set a geographic boundary around the site
  • Location Validation: The system checks the worker's GPS location against the site boundary
  • Alerts: Flag sign-ins from outside the geofence

Configuring Geofencing

  1. Go to Project > Settings
  2. Ensure the project has a site address with coordinates
  3. Configure the geofence radius
  4. Enable location validation for sign-in

Visitor Management

Track visitors alongside regular site personnel:

Signing In Visitors

  1. Select Visitor Sign-in from the kiosk
  2. Enter visitor details:
    • Name
    • Company
    • Purpose of visit
    • Host (person they're visiting)
  3. Capture a photo if required
  4. The visitor receives a temporary site pass

Visitor Records

  • Track all visitor sign-ins and sign-outs
  • Record host assignments
  • Maintain a complete visitor log for compliance

Working Hours

Configure site operating hours:

  1. Go to Project > Settings or Tools > Sign-in/Sign-out
  2. Set standard working hours (e.g., 7:00 AM - 5:00 PM)
  3. The system tracks hours worked based on sign-in and sign-out times

Sign-in Records

Viewing Attendance

The sign-in/sign-out register provides:

  • Real-time list of who is currently on site
  • Historical attendance records
  • Sign-in and sign-out times
  • Duration on site
  • Identification method used

Emergency Mustering

In an emergency, the current sign-in register serves as a muster list:

  • View all personnel currently signed in
  • Account for everyone during an evacuation
  • Export the list for emergency services

Best Practices

  • Set up a dedicated kiosk: Use a tablet at the site entrance for easy access
  • Enable geofencing: Ensure sign-ins are recorded from the actual site location
  • Track visitors: Always sign in visitors for safety and compliance
  • Review attendance regularly: Monitor sign-in records for anomalies
  • Use QR codes: Provide workers with QR codes for fast, contactless sign-in
  • Keep the kiosk accessible: Position the device where it's easy for all workers to use on entry and exit
