Set up and manage worker inductions with configurable tiers, license tracking, medical declarations, and expiry monitoring to ensure everyone on site is qualified and compliant.
Induction Setup
Induction Tiers
Tiers define different levels of induction required for site access:
- Go to Project > Tools > Inductions (or Organisation > Tools > Inductions)
- Create tiers such as:
- Tier 1 - General Site Induction: Required for all personnel
- Tier 2 - Trade-Specific Induction: Additional requirements for specific trades
- Tier 3 - High Risk Work: For workers performing high-risk activities
- Configure content for each tier
Induction Content
Each tier has configurable content that workers must review:
- Go to Tools > Inductions > Content
- Select a tier to edit
- Add induction content:
- Site rules and procedures
- Emergency contacts and procedures
- Hazard identification
- PPE requirements
- Environmental obligations
- Workers review this content during the induction process
Job Titles
Configure job title options for induction registrations:
- Go to Tools > Inductions
- Add job titles relevant to your projects (e.g., Electrician, Plumber, Labourer, Project Manager)
- Workers select their job title during registration
License Management
License Types
Configure the licenses and qualifications your projects require:
- Go to Tools > Inductions
- Create license types such as:
- White Card (General Construction Induction)
- Working at Heights
- Confined Space
- Forklift License
- Crane Operator
- First Aid Certificate
- Set expiry tracking for each license type
Tracking Licenses
During induction, workers provide their license details:
- License type and number
- Issue date
- Expiry date
- Upload a copy of the license
Expiry Monitoring
Monitor license expiry across your project:
- Go to Project > Inductions > Expired Licenses
- View workers with:
- Expired licenses
- Licenses expiring soon
- Take action to ensure workers maintain valid qualifications
Medical Declarations
Configuring Medical Questions
Set up medical declaration questions for site workers:
- Go to Tools > Inductions
- Add medical questions such as:
- Pre-existing conditions relevant to site work
- Medication that may affect work capacity
- Fitness to perform physical work
- Workers complete these during induction registration
Induction Process
Registering Workers
Workers can be inducted through several methods:
From the Project:
- Go to Project > Inductions > Register
- Click Create Induction
- Enter or select the worker
- Complete the induction form:
- Personal details
- Job title
- Employer/organisation
- License details
- Medical declarations
- Emergency contact
- Submit for approval
Via Public Portal:
- Share the public induction registration link
- Workers register online without a Teralo account
- They complete the induction form and submit
- Submissions appear in the awaiting approval queue
Approval Workflow
- Go to Project > Inductions > Awaiting Approval
- Review submitted inductions:
- Verify personal details
- Check license documentation
- Review medical declarations
- Approve or reject the induction
- Approved workers can access the site
Induction Register
The register provides a complete record of all inducted personnel:
- Filter by status, job title, employer, or date
- View induction details and attached documents
- Track approval status
- Monitor active and expired inductions
Best Practices
- Set up tiers early: Configure induction tiers and content during project setup
- Track all licenses: Ensure every required license type is configured for accurate expiry monitoring
- Use the public portal: Allow external workers to self-register for inductions before arriving on site
- Review expired licenses regularly: Check the expired licenses dashboard weekly to maintain compliance
- Keep medical questions appropriate: Only ask questions relevant to site safety and work capacity
- Standardise at the organisation level: Create induction templates at the organisation level for consistency across projects
