Team Management
Manage your organisation members and control access to projects with Teralo's team management features.
Organisation Members
Adding Team Members
Add people to your organisation:
- Go to Organisation > Directory
- Click Add Person
- Choose to:
- Add Existing User: Search for someone already on Teralo
- Invite New User: Send an email invitation
- Enter their details
- Assign a permission template
- Click Add to Organisation
Member Roles
Organisation members can have different statuses:
- Active: Full organisation membership with assigned permissions
- Pending: Added to a project, awaiting organisation admin approval
- Unaffiliated: Project access only, no organisation-level access
Removing Members
To remove someone from your organisation:
- Go to Organisation > Directory
- Find the member
- Click Remove from Organisation
- Confirm removal
Note: This removes them from all projects hosted by your organisation.
Permission Templates
Control what team members can see and do using permission templates.
Understanding Permissions
Teralo uses a template-based permission system:
- Organisation Templates: Control access at the organisation level
- Project Templates: Control access within specific projects
Creating Templates
- Go to Organisation > Permissions
- Click Create Template
- Name your template (e.g., "Project Manager", "Document Controller")
- Select the permissions to include
- Save the template
Permission Categories
Permissions are grouped by feature:
- Directory: View members, add/remove people, manage roles
- Documents: View, upload, register, review, delete documents
- Mail: View, send, manage templates
- Contracts: View, create, edit, manage budget, approve claims
- Procurement: View, create, edit, manage workflows
- Quality & Safety: Photos, inspections, site diary, etc.
- AI Chat: Access AI features
- Calendar: View and manage events
- Billing: View and manage subscription (organisation only)
Assigning Templates
When adding someone to a project or organisation:
- Select the person
- Choose a permission template
- The template determines their access level
Modifying Access
To change someone's permissions:
- Find them in the Directory
- Click Edit Permissions
- Select a different template
- Save changes
Project Teams
Adding People to Projects
- Open the project
- Go to Directory
- Click Add Person
- Select from organisation members or invite new users
- Assign a project permission template
- Click Add to Project
Viewing Project Team
The project Directory shows:
- All project members
- Their organisation
- Their permission template
- Contact information
Managing Project Access
Remove project access:
- Open the project Directory
- Find the person
- Click Remove from Project
- Confirm removal
User Applications
When someone requests to join your organisation:
- Go to Organisation > User Applications
- Review pending applications
- Click Approve or Reject
Approved users become Active members. Rejected users keep project access (if any) but become Unaffiliated.
Best Practices
Permission Template Tips
- Create templates for common roles (Project Manager, Site Manager, Consultant)
- Start with minimal permissions and add as needed
- Review templates regularly to ensure they match current needs
- Use descriptive template names
Security Recommendations
- Remove access promptly when team members leave
- Regularly audit organisation membership
- Use appropriate permission levels (don't over-grant access)
- Review user applications promptly
