Inspections
Manage quality and safety inspections across your projects with configurable templates, location hierarchies, scheduled plans, and issue tracking.
Inspection Templates
Templates define what gets inspected and how. Create templates at the organisation level and activate them on specific projects.
Creating a Template
- Go to Organisation > Tools > Inspections
- Click Create Template
- Enter template details:
- Name: Descriptive template name (e.g., "Concrete Pour Checklist")
- Category: Quality or Safety
- Description: What this inspection covers
- Add sections and items to the template
Template Structure
Templates are organised into sections, each containing inspection items:
- Sections: Group related items (e.g., "Formwork", "Reinforcement", "Concrete")
- Items: Individual check points within a section
- Response Types: Pass/Fail, Yes/No, text input, or custom fields
- Required Items: Mark items that must be completed
Activating Templates on Projects
- Go to Project > Tools > Inspections
- Browse available organisation templates
- Activate the templates relevant to this project
- Customise project-specific settings if needed
Inspection Locations
Set up a location hierarchy to organise where inspections take place.
Location Hierarchy
Locations follow a tree structure:
- Building (e.g., "Tower A")
- Level (e.g., "Level 3")
- Room/Area (e.g., "Unit 301")
- Level (e.g., "Level 3")
Managing Locations
- Go to Project > Inspections > Locations
- Click Add Location to create a building
- Add levels within buildings
- Add rooms or areas within levels
Locations are used for scheduling inspection plans and associating completed inspections with specific areas of the project.
Inspection Plans
Plans schedule when and where inspections need to happen.
Plan Types
- Location-based: Assign an inspection template to specific locations
- Frequency-based: Set recurring inspections (daily, weekly, monthly)
- One-off: Schedule a single inspection for a specific date
Creating a Plan
- Go to Project > Inspections > Plans
- Click Create Plan
- Select the inspection template
- Choose the plan type and configure:
- Locations to inspect
- Frequency or specific date
- Assigned inspector
- Save the plan
Managing Due Dates
Each plan generates due dates based on its configuration. View and manage upcoming inspections from the Plans section, where you can see:
- Upcoming due dates
- Overdue inspections
- Completed inspections per plan
Conducting Inspections
Starting an Inspection
- Go to Project > Inspections > My Inspections or the Dashboard
- Select an inspection to complete
- Work through each section and item:
- Mark items as Pass or Fail
- Add notes or photos for any item
- Flag issues for follow-up
- Submit the completed inspection
Inspection Dashboard
The dashboard provides an overview of inspection activity:
- My Inspections: Inspections assigned to you
- My Items: Issues or items requiring your action
- Register: All inspections across the project
- Issues: Open non-conformances and defects
Issue Tracking
When an inspection item fails, it creates an issue that needs resolution.
Working with Issues
- Go to Project > Inspections > Issues
- View open issues with details:
- Location and inspection reference
- Description and photos
- Assigned responsibility
- Due date for resolution
- Update issue status as work progresses
- Close issues once resolved and verified
Issue Workflow
Issues follow a lifecycle:
- Open: Issue identified during inspection
- In Progress: Corrective action underway
- Resolved: Fix completed, awaiting verification
- Closed: Verified and signed off
Best Practices
- Standardise templates at the organisation level for consistency across projects
- Use location hierarchies to track inspection coverage across the site
- Schedule plans to ensure no area is missed
- Close issues promptly to maintain an accurate project quality record
- Review the dashboard regularly to stay on top of upcoming and overdue inspections
