Guest organisation setup
Set up a guest organisation, from its details to its members.
This checklist sets up a guest organisation: its details, compliance documents, permission templates and people. Each item says where it is in Teralo, and links to the article with the steps. The ticks you make here are saved in this browser, not in your account.
A guest organisation works on projects other organisations host, on the free Guest Plan. It has no Tools: on a host's project, the host's tool settings, project permission templates and workflows apply. Learn more about hosts and guests.
On a guest organisation, Create with Defaults adds the organisation permission templates, such as Staff and View Only. It also adds the tool settings a host organisation uses, which apply if the organisation becomes a host. Start blank instead leaves No Access as the only template.
In the organisation sidebar, under Organisation Settings, select Settings. Anything you entered in the wizard is already filled in.

The Compliance Documents card on Settings holds your organisation's insurances, licences and certifications.
When a host requires a document on its project, you submit it from the Compliance tab of the project's My Items, and you can choose it from this library. Learn more about compliance documents.
In the organisation sidebar, under Organisation Settings, select Permissions.
An organisation template is the set of permissions a member has in your organisation, and decides which of its tools, such as Directory and Drive, appear in their sidebar. A guest organisation doesn't have a Project Templates tab. On a host's project, each person has the project template the host gives them. Learn more about permission templates.
In the organisation sidebar, under Organisation Management, select Directory.
Note: Joining your organisation doesn't add a member to a host's project. Someone at the host adds or invites each person to the project.
When someone at a host adds or invites a person to a project and names your organisation as their company, the membership can wait on User Applications as a Project Admin application. Learn more about members and user applications and inviting people to a project.
Your members' AI use on a host's project comes from your organisation's own weekly allowance, unless the host's project template gives them Can use the host organisation AI allowance. Learn more about AI credits.
The Organisation setup pill in the sidebar footer tracks 7 items on a guest organisation. Only administrators see it. Select it to see the items.
Each item is done when:
- Business Number and Discipline: they are filled in.
- Organisation Directory: a second person has been added to the organisation.
- Mail Prefix: it is set. Teralo makes one from the organisation's name when it is created, so this starts done. The prefix numbers mail only on projects an organisation hosts.
- Main Office Address: the address has a street or a city.
- Logo & Cover Photo: both are added.
- Organisation Permission Template: there is at least one template other than No Access.
The pill disappears when every item is done. To hide it sooner, select the three dots on the pill, then Mark all as complete. That hides it for every administrator.
A guest organisation becomes a host with the code from a signed Order Form, on Billing. Learn more about billing.
