Privacy and training

This article covers what happens to what you type into Teralo's AI features: whether it trains a model, where it is stored, who can read it and what is sent to the model. The binding version is the AI Product Terms.

Teralo does not use your prompts or the answers to train any model. Google, which runs the model, says in its terms for the paid tier of the Gemini API that it does not use prompts or responses to improve its products. Google keeps a log of them for 55 days to detect abuse of its API, and says it does not use that log to train any model other than those it uses to enforce its usage policy.

You keep all rights and intellectual property in what you put in and in what comes out. Teralo's licence to both covers providing the service, including security, maintenance and improvements, and does not extend to training large language models.

Using Teralo's AI features is optional. Can access AI Chat is a permission on each project, and turns on AI Chat and the 3D model chat there. Other AI features, such as reading a safety data sheet from its PDF, follow the permissions of the tool they are in, and the AI Assistant in the text editor is available to anyone who can edit that text. A conversation can be opened only by the person who started it. No screen in Teralo shows one person another person's chats: not a colleague, not the host organisation and not an organisation administrator. No permission grants access to someone else's.

The host can see how many of its AI credits each person used on its project this week, but not what they asked.

Teralo keeps each conversation in its own database, in Sydney, under the same access controls and confidentiality obligations as the rest of your project data. Files you attach to a conversation are kept in Teralo's file storage. Where uploaded files are kept is covered in the Privacy Policy.

1. In AI Chat, open the conversation.
2. Select Delete above it, then Delete to confirm.

Deleting a project deletes its conversations. Archiving a project deletes nothing. Deleting needs access to AI Chat on the project, so if you lose it, your conversations there stay until the project is deleted.

Teralo sends data to the model only when you use an AI feature: a question in AI Chat, or an action such as filling in a document's details from its file. The one exception is adding an organisation: while you are signed in with a company email address, opening the form sends the text of your company's public website to the model, which uses it to suggest the organisation's details. For a question in AI Chat, the model receives:

• your question and the conversation so far;
• the files attached to your latest message;
• the results of the searches the assistant runs, which reach only what you can see;
• a summary of the project: its name, code, host organisation, status, stage, value, dates and time zone, and your name.

Teralo's AI features run on Google Gemini, through the Gemini Developer API. There is no per-feature choice of model.

If you connect your own assistant, such as Claude or ChatGPT, it receives what its searches in Teralo return, under your own terms with its provider. Learn more about connectors.

• Teralo's copy: a conversation lasts until you delete it or the project is deleted. Teralo's database backups keep a copy for up to seven days after that.
• Google's copy: Google logs prompts and responses for 55 days to detect abuse of its API, under its own terms.

There is no third copy in an analytics tool. Teralo's product analytics records that a call was made, which model answered it, how many tokens it used and what it cost, how long it took, whether it failed, and who made it. It does not record what you asked, what came back, or the project records the assistant read on the way. Before 3 September 2026 it recorded all three.

The Gemini Developer API has no regional processing commitment. Your prompt may be processed on Google infrastructure outside Australia. Teralo does not promise otherwise.

The project database is in Sydney.

Don't submit sensitive personal information: racial or ethnic origin, political opinions, religious beliefs, health data or sexual orientation. That includes pasting it in from a document or attaching a file that holds it.

You're responsible for what you put in, including whether you have the right to share it.

• Verify an answer before you rely on it. Each answer lists its Sources, the records it was drawn from.
• Nothing the AI produces is legal, financial, medical or professional advice.
• Don't use the AI for decisions with legal or significant effects on someone, such as employment, credit, insurance or housing, without appropriate human oversight.
• If you publish an answer or share it publicly, review and verify it first, attribute it to yourself or your company, disclose in an easily visible way that it is AI-generated, and don't use it to impersonate or mislead.

Feedback you send about the AI features can be used to improve them, and is not treated as confidential.
