Your documents

Your tickets and licences belong to you rather than to a project, so Teralo gives you somewhere to keep them that is not either. It is called Personal Documents, it hangs off your account, and it comes with you into every organisation and every site you ever join.

Find it at Settings, then Account, then Personal Documents.

The point of it is narrow and worth stating up front: it is there so you never have to photograph your White Card at a site gate again. Fill it in once, at your desk, and an induction registration offers the files back to you.

What to put in it: tickets, licences and certificates

The things a site will ask for. A White Card or equivalent general construction induction, high risk work licences, an EWP or forklift ticket, a trade qualification, a first aid certificate, an electrical or plumbing licence, a working at heights certificate.

Uploading a document: PDF, JPG, PNG, WebP, HEIC, DOC and DOCX

Those are the file types the uploader accepts. HEIC is on the list because it is what an iPhone camera produces, so a photo taken on your phone goes up as it is, with no converting.

You can select several files at once and they upload one after another. There is no separate form: pick the files and they appear in the list.

Categories: License, Qualification or Certificate, taken from the file name

Each document gets one of four categories: License, Qualification, Certificate or Other. There is no dropdown, and this is the part that surprises people: Teralo reads the category out of the file name.

  • A name containing license, licence or card files as a License
  • qualification or qual files as a Qualification
  • certificate or cert files as a Certificate
  • anything else lands in Other

So White Card.jpg and HR Licence.pdf file themselves, and IMG_4021.HEIC does not. Rename the file on your phone or laptop before you upload it, which is worth doing anyway, because the name is also what you will see in the list.

The name shown is the file name with its extension removed.

What you cannot do here: rename, recategorise or set an expiry

Three things, all of which come to the same workaround.

There is no rename and no way to change a category after upload. If either is wrong, delete the document and upload it again under a better name.

There is no expiry date. Expiry is not a property of the file here, it is recorded against the licence on an induction, where the site needs to act on it. So this list will not warn you that your ticket has run out, and neither will Teralo: see Inductions for where an expiring licence does show up.

Deleting is the bin icon on the row. It removes the stored file as well as the entry, and it cannot be undone.

Where they get used

On an induction registration. That is the only place, and it is the whole reason the locker exists.

When you register for a site induction, one of the steps is Licences: a row per ticket, with its number, its class and its expiry. Normally each row wants a photo or a file. If Teralo can tell the registration is you, each row also carries a link reading Attach document from profile. It opens a Select a document list of everything in your locker, with the category under each name. Pick one and the row is done.

It is the difference between standing in a site office holding your wallet up to a phone camera and two taps.

Matching your documents to you

The match is made on your phone number, so it is worth understanding how the pieces line up.

An induction registration starts by verifying a phone number by text. Teralo looks for a worker record with that number, in the organisation you said you work for, that is already linked to a Teralo account. If it finds one, your locker is offered. If it does not, the step behaves as it does for anybody without an account: photograph or upload each one.

Two things follow. Keep the phone number on your profile current, and use that same number at the gate. And if the documents do not appear, it is almost always because the number does not match, not because the upload failed. See Your profile.

Your name and phone number are also kept in step between your profile and your worker record in both directions, so correcting one corrects the other.

Who else can see them

Nobody, until you attach one. Your locker is scoped to your account: Teralo's storage refuses a request for another person's personal documents outright, so there is no screen anywhere, for an administrator or a project host, that lists what you are keeping in it.

Attaching a document to a licence on an induction is what makes that one file visible, to the people who review and hold that induction. That is the transaction: you are handing over that ticket to that site, the same as you would hand over a photocopy, and nothing else in the locker goes with it.

It does not use your organisation's storage

Personal documents are charged to nobody. The uploader deliberately skips the storage accounting that project and organisation documents go through, because these files are yours rather than the organisation's, so a phone full of tickets costs your employer nothing and counts against no plan. Keep your own copy

This is a convenience for filling in inductions, not a records archive. Keep your own copy of every ticket and certificate you upload, in your photos or wherever you keep them now.

Two reasons. Your licence is your licence, and its official version is the card in your wallet and the record held by the issuing authority, not a JPEG in a construction platform. And a file here is tied to an account you might one day close: deleting your Teralo account deletes everything in this list with it. See Your profile.
